**Terms and Conditions - Banqueting**

**Deposit Requirement**
For a confirmed reservation, we apply the following deposit terms:
• 25% Deposit – Upon booking the reservation
• 50% Deposit – 1 month before the arrival date
The amount already paid will be deducted from the final invoice.

**Cancellation Policy for Banqueting (20 – 49 people)**
• More than 1 year before the event: cancellation fee of 350 euros.
• 1 year – 7 months before the event: cancellation fee of 500 euros.
• 6 – 4 months before the event: cancellation fee of 750 euros.
• 3 months – 0 days before the event: cancellation fee of 1000 euros.

**Cancellation Policy for Banqueting (more than 50 people)**
• More than 1 year before the event: cancellation fee of 500 euros.
• 1 year – 7 months before the event: cancellation fee of 1000 euros.
• 6 – 4 months before the event: cancellation fee of 1500 euros.
• 3 months – 0 days before the event: cancellation fee of 2500 euros.

**Change in Number of Guests**
(Changes must always be communicated in writing to the banqueting manager via banqueting@dennenhof.valk.com)
• More than 28 days before the event: a maximum reduction of 50% of the originally contracted number of reserved guests is possible, increasing is possible depending on room capacity and in consultation with the banqueting manager.
• 27 – 14 days before the event: a maximum reduction of 30% of the originally contracted number of reserved guests is possible, increasing is possible depending on room capacity and in consultation with the banqueting manager.
• 13 – 7 days before the event: a maximum reduction of 20% of the originally contracted number of reserved guests is possible, increasing is possible depending on room capacity and in consultation with the banqueting manager.
• 6 to 1 day before the event: a maximum reduction of 10% of the originally contracted number of reserved guests is possible, increasing is possible depending on room capacity and in consultation with the banqueting manager.
• On the day itself: 100% of the originally contracted number of reserved guests will be charged.

The hotel reserves the right to cancel the reservation without additional costs in the case of unforeseen circumstances/force majeure situations affecting either the hotel or the client. Please note: this is always at the hotel's discretion. Hotel Dennenhof may ask the client to provide/show a medical certificate to support/indicate the force majeure situation the client is experiencing.

**Cancellation Policy for Group Room Reservations (7 to 20 rooms)**
For group reservations, we apply the following conditions:
• More than 45 days before arrival: free cancellation/changes.
• 44 – 20 days before arrival: up to 50% of the rooms can be canceled/changed free of charge, the first night will be charged for each additional canceled/changed room.
• 19 – 8 days before arrival: up to 25% of the rooms can be canceled/changed free of charge, the first night will be charged for each additional canceled/changed room.
• 7 days – 12 PM on the day of arrival: up to 10% of the rooms can be canceled/changed free of charge, the first night will be charged for each additional canceled/changed room.
• After 12 PM on the day of arrival/no-show: 100% of each additional canceled/changed room will be charged.

**Cancellation Policy for Group Room Reservations (more than 21 rooms)**
For group reservations, we apply the following conditions:
• More than 60 days before arrival: free cancellation/changes.
• 59 – 45 days before arrival: up to 75% of the rooms can be canceled/changed free of charge, the first night will be charged for each additional canceled/changed room.
• 44 – 20 days before arrival: up to 50% of the rooms can be canceled/changed free of charge, the first night will be charged for each additional canceled/changed room.
• 19 – 8 days before arrival: up to 25% of the rooms can be canceled/changed free of charge, the first night will be charged for each additional canceled/changed room.
• 7 – 1 day before arrival: up to 10% of the rooms can be canceled/changed free of charge, the first night will be charged for each additional canceled/changed room.
• Until 12 PM on the day of arrival: up to 5% of the rooms can be canceled/changed free of charge, the first night will be charged for each additional canceled/changed room.
• After 12 PM on the day of arrival/no-show: 100% of each additional canceled/changed room will be charged.

**Terms and Conditions - Meetings**

**Cancellation Policy for Meetings (less than 12 people)**
• More than 7 days before the meeting: free cancellation.
• 7 – 4 days before the meeting: 70% of the total reservation value will be charged.
• 3 – 0 days before the meeting: 100% of the total reservation value will be charged.
• No-show: 100% of the total reservation value will be charged.

• 6 to 4 days before the event: a maximum reduction of 25% of the originally contracted number of reserved guests is possible.

• 3 – 0 days before the meeting: 100% of the total reservation value will be charged.
• No-show: 100% of the total reservation value will be charged.
